This policy explains how BlackTrail collects and uses information across its public website, dispatcher portal, and driver application.

Information we collect

BlackTrail may collect account information such as name, email address, phone number, company name, role, driver profile details, vehicle profile details, settlement status, load assignment information, broker contact details, messages, and support requests.

Location data

The driver application may collect precise foreground location while an activated driver chooses to be Available or is working, so dispatch can identify nearby drivers for load offers and coordinate freight operations. During an assigned active delivery, BlackTrail may also collect location in the background so dispatch can monitor pickup, transit, delivery, and exception status while the app is minimized. Background tracking stops when no active load remains. Drivers without an active delivery can stop foreground sharing by going offline.

Photos and documents

Drivers may upload pickup, freight, Bill of Lading, Proof of Delivery, vehicle, insurance, and compliance images. These records are used to document shipment status, close out loads, support billing, and maintain operational records.

Compensation and settlement records

BlackTrail may store load rates, estimated earnings, settlement status, adjustments, and correction requests needed to operate freight services. Version 1 of the driver app does not collect bank or card information and does not initiate payouts inside the app.

Notifications and device identifiers

BlackTrail may store push notification tokens or web push subscriptions so drivers and dispatchers can receive load offers, counter-offers, payout updates, and operational alerts.

How we use information

We use information to create and secure accounts, dispatch loads, track active deliveries, communicate with drivers and dispatchers, generate documents, support settlements, respond to inquiries, improve the service, and comply with legal, tax, logistics, and safety obligations.

AI-assisted tender extraction

When an internal dispatcher chooses the tender extraction feature, the selected broker email text is sent to Anthropic to extract load details. BlackTrail does not use this feature for automated eligibility, employment, pricing, or payout decisions. Dispatchers must review extracted fields before use.

Sharing

BlackTrail does not sell personal information. We may share information with service providers that help operate the platform, including hosting, database, messaging, mapping, document, analytics, and support providers. We may also share shipment records with brokers, shippers, dispatchers, drivers, or regulators when needed for freight operations or legal compliance.

Retention and deletion

Users can request deletion inside the driver app or follow the instructions at blacktrailhq.com/website/delete-account. Account credentials, contact information, device tokens, and personal vehicle profile data are deleted or anonymized where applicable. Some operational records, such as completed load history, delivery timelines, invoices, settlement records, and payment records, may be retained when needed for business, tax, safety, dispute, or legal obligations.

Security

BlackTrail uses authenticated access, organization scoping, transport encryption, role-based permissions, and service-provider safeguards to protect information. No system can be guaranteed completely secure.
